Sharing a project
Send a project to clients with a link, invite colleagues to work on it with you, choose who can view or edit it, and let visitors comment.
A project can be shared two ways, and you can use both at once:
- Members are people with a Measure Map Online account whom you invite by email. They see the project on their Projects page and can view and edit it with you, at the same time.
- The link opens the project for people who are not members, such as a client. The project's access level decides whether the link lets them view it, edit it, or nothing.
Open the share settings#
- In a project, press Share at the top of the map, or press (Menu) and choose Share.
- On the Projects page, choose Share in the project's menu.
Only the project's owner can change the access level and the members. In an organisation, the organisation's owner, Admins and Managers can also change them on the members' projects. Everyone else sees the settings without being able to change them.
Choose who the link opens for#
Under Access level, choose one:
| Access level | Members | Anyone with the link |
|---|---|---|
| Private | View and edit | Nothing: the link only works for members |
| View only | View and edit | View, without an account |
| Public | View and edit | View; edit too when signed in to Measure Map Online |
| Open Guest | View and edit | View and measure, without an account |
The change is saved at once. New projects start as Private.
- With Public, visitors without an account can only look. Anyone signed in to a Measure Map Online account with a confirmed email address can draw and change shapes, whether or not they are a member.
- Open Guest is offered to project owners on the Open Guest plan. To give each customer a project of their own, share your guest link rather than one project's link: see Open Guest.
A project's access level also shows on its card on the Projects page, and decides whether it can be embedded on a website.
Send the link#
Press next to the Share link to copy it, and send it by email, message or any other way. Visitors who open it see the project in the same units you use (metric or imperial).
What visitors see includes the shapes, their measurements and, if the project is priced, its estimate. Your product cost prices are never shown.
Let visitors comment#
With View only or Public, a Commenting switch appears: turn on Allow everyone to comment and anyone with the link can place comments on the map, without an account. Members can always comment. See comments.
Invite members#
- Under Members, type an email address in Invite emails and press Enter, Space or Tab. Add as many as you need.
- Press Share.
People who already have an account are added straight away. They get an email and a notification, and the project appears on their Projects page.
People without an account are not added. They get an email: when the project is View only or Public, it has the link, which opens the project without an account. Otherwise the email asks them to create an account with that address first; once they have, share the project with them again.
You can send up to 200 invitations a day. Past that, the window says you have reached today's limit: try again the next day.
In an organisation, colleagues are suggested as you type, and (Add all enterprise users) adds everyone in the organisation at once. Projects can also be shared with a whole team: see teams and territories.
Work together#
Members see each other's changes on the map as they happen, without saving or reloading. While others have the project open, their pictures show in the bottom-left corner of the map: point at one to see the name. While someone else has a polygon unlocked to change it, their picture shows in its middle, so you can tell who is working where.
Members can do everything with the shapes that the owner can, including going back to an earlier version. Sharing, renaming, moving and deleting the project stay with its owner.
Stop sharing#
- To take one person off the project, press next to their name and confirm. They lose access at once and are told by email, unless they have turned those emails off.
- To stop the link from working for people who are not members, set the access level to Private.
- To keep the link working but stop comments, turn off Allow everyone to comment.
To share many projects with the same people, put them in a folder and share the folder.
