Members and roles
Invite people into your organisation, give each a role, and change, suspend, unlink or delete members from the Users page.
The Users page lists everyone in your organisation, with their status, role and teams. From it you invite new people, change what they are allowed to do, and remove them when they leave. It is open to the organisation's owner and its Admins.
Open it from the dashboard menu: Enterprise > Users.
The Users page#
Each row shows a member's name and email, whether they are online now or when they were last seen, and:
- Status: Active, Pending (invited but has not signed in yet), Unverified (has not confirmed their email), Suspended, or Deleted (listed at the end).
- Role and Teams.
- Created and Last active.
Above the table, counters show the seats in use, how many members are Admins, how many invitations are pending, and how many members are inactive: they have not signed in for longer than your policy allows (60 days unless you change it). Use the team menu and Search users… to narrow the list, and Spreadsheet (CSV) to download it as a spreadsheet.
Click a row to edit that member. Every other action is in the row's menu. An Admin only gets these for members whose role is below Admin; on their own row, opens their profile.
Roles#
Every member has one role. The owner is not a role: the owner can always do everything, and their role cannot be changed ("This is the organization owner. Their role cannot be changed.").
- Admin: Can manage users, roles and every project in the organization.
- Manager: Sees and manages every project in the organization, but cannot manage users.
- Member: Can work on their own projects and anything shared with them.
- Viewer: Read-only. Can open and export projects but cannot draw or edit.
New members get Member unless your policy sets another default role.
| Admin | Manager | Member | Viewer | |
|---|---|---|---|---|
| Open the Enterprise area, invite and remove members, change roles | Yes | No | No | No |
| Change the organisation's profile, policy and single sign-on | Yes | No | No | No |
| See every project in the organisation and assign projects to teams | Yes | Yes | No | No |
| Create, draw in, edit and delete projects | Yes | Yes | Yes | No |
| Open and export projects shared with them | Yes | Yes | Yes | Yes |
| Add and change the organisation's products | Yes | Yes | No | No |
Nobody can change their own role or the owner's. Only the owner can make someone an Admin, or change, suspend, sign out or remove an Admin: an Admin manages the members whose role is below their own.
Invite someone#
There is one way to bring anyone in: invite them by email. You do not need to know whether they already use Measure Map Online.
- On the Users page, press Invite.
- Enter their Full name and Email.
- Press Send invite.
What happens next depends on the person:
- No account yet: their account is created, already part of your organisation, and they get an email with a link to set their own password. They show as Pending until they sign in, and they use a seat from the start.
- An existing account: they get a request to join, by email and in their notifications. When they accept, their own subscription is cancelled, their projects stay in their account, and they use a seat. If they decline, you are told.
- An address on your single sign-on domains: no account is made. They get an email with your sign-in link, and their account is set up, in your organisation, the first time they sign in with their work account.
A message at the bottom of the screen confirms which of these happened, and says so if the email could not be sent. To send an invitation again, choose in the member's row menu.
People with an existing account are not in the table until they accept. While any of them have not answered, Waiting to join appears above the table. It lists them with the date each was asked, and lets you send a request again (, at most every 10 minutes) or take it back ().
The invitation is refused when:
- the email's domain is not in your organisation's allowed domains;
- the person is already in your organisation, or it is your own email;
- the address belongs to an account whose email was never verified;
- there is no free seat and seats are not added automatically (see seats).
Inviting someone whose request is still waiting sends nothing new: send it again from Waiting to join.
Someone who runs an organisation with members of its own cannot accept a join request until those members are removed.
Change a member's role#
- One member: in their row menu, choose and pick the new role, then confirm.
- In the member's details: click the row, pick a role and press Save.
- Several members: tick their rows, press Change role above the table and pick the role.
The member is notified by email and in the app. The new role is applied the next time this user signs in or refreshes the app.
Edit a member's details#
Click a member's row (or choose in the row menu) to open Edit user. It shows their email, when they joined and when they were last active, and lets you change their name, company, address, postal code, country, phone number and role. Press Save.
Help a member who is locked out or leaving#
In the row menu:
- : type a new password (at least 8 characters) in the side panel and confirm. The member gets an email saying their password was changed, and is signed out on every device. This is refused for someone who joined with their own account or signs in through single sign-on: they manage their password themselves.
- : signs them out on every device at once, for a lost phone or an urgent departure. They are told by email.
- : they are signed out everywhere and cannot sign in until you choose . They keep their seat and their projects. Use it for someone on leave or under review.
Transfer a member's projects#
Before someone leaves, move their work to a colleague:
- In the member's row menu, choose .
- Under From, pick the member. The dialog shows how many projects they own.
- Under To, pick who receives them: another member or you.
- Press Transfer projects.
Every project and folder the first person created becomes the second person's, and appears on their Projects page. Both people get an email about it. Use in the row menu to see a member's projects first.
Remove someone from the organisation#
There are two ways, both in the row menu (or above the table, for the rows you have ticked):
- : the person leaves the organisation but keeps their account and their projects. Their seat is freed and they are notified. Their account no longer has the Enterprise plan, so they need a plan of their own to go on working.
- : the account is deleted and the person can no longer sign in. Their projects are erased with the account after 14 days. If they own projects, the confirmation offers Transfer projects first. Your policy can require the transfer before a member can be deleted, also when you delete several at once.
